Job Description

The Print Services Planning Coordinator assists the Print Services Planner with compiling data and information relative to client specific outsourcing operations to 3rd party providers. This includes implementation of solutions for clients, quality of deliverables and presentation of proposals to clients, as well as support of internal production.

Essential Duties and Responsibilities include but may not be limited to the following:
  • In conjunction with Print Services Planner works closely with Sales, Operations, Client Experience and outside suppliers to estimate costs for printing, fulfillment, and packaging services as needed for competitive bids and unsolicited sales proposals.
  • Maintains due dates for various stages of work and actively communicates with Print Services Planner from project onset through final invoicing to ensure the project is delivered on-time, within budget, and according to the client’s expectations.
  • Works with, in-house resources, and service providers to assemble mock-ups or printed samples as needed for pre-sale and bidding activities.
  • Assists with production tests with outside vendors as needed during pre-sale and after-sale activities.
  • Works with Print Services Planner as needed to initiate new clients’ needs, enter new projects, and set up timelines and milestone dates.
  • Assists in item set-ups and works with internal resources responsible for monitoring and maintaining inventory levels of materials in our in-house fulfillment center/service bureau.
  • Works with Client Experience resources for the coordination efforts of seamless distribution of externally produced product into kitted deliverables.
  • Accepts additional responsibilities as required to comply with client SLA expectations for responsiveness, turn-times, reporting, and other deliverables, such as proofs, samples, etc.
Education and/or Experience
  • Bachelor's degree from four-year college or university; three to five years’ administrative, purchasing, procurement or sourcing experience in a print, fulfillment, mailing and/or packing environment preferred; or equivalent combination of education and experience.
  • Must be able to plan, organize and manage multiple projects and to drive project timelines to completion with cross-functional team members and to measure performance against specific requirements, service-level agreements, and/or quality goals.
  • Excellent problem solving skills and being proactive in resolving issues are needed with the ability to react to changes in standard operating procedures and implement quick and accurate decision making.
  • Excellent interpersonal, written and verbal communication skills.
  • Proficiency in Microsoft Office applications a must.
